Add your services and their prices
When you need this
You are setting up the clinic, or you start charging for something new: a consultation, a procedure, a dressing. Each thing you bill is an item with a name and a price. The front desk adds them to a check-in, and they print on the invoice and the receipt.
Before you start, decide whether your prices include VAT: see Preferences. It decides which price you type here.
Steps
Add a service:
- Open Setup in the menu. Under Lists, click Services.
- Click New Item.
- Under Product Information, type the Name, for example Consultation – GP. A Code is optional.
- Choose one or more Categories if you use them, and add a Description if you like.
- Under Pricing, type the price:
- Selling Price (excl. VAT): VAT is added to this price.
- Selling Price (incl. VAT): what the patient pays, VAT included. You see this one when Prices include VAT is on in Preferences.
- Click Save & View to open the new item, or Save & Add Another to add the next one straight away.
Change a price:
- Under Setup › Services, search for the item by name and click its row.
- Change the price under Pricing, then click Save.
The same list is under Items in the menu.
What you should see
- Successfully saved (after Save & Add Another), or the new item's page (after Save & View).
- The item in the Services list with its price and Code. The price column says whether it is (excl. VAT) or (incl. VAT).
- The front desk finds the item by name when they check a patient in.
If something goes wrong
- "Name is required!": type a name and save again.
- "Price is required before this item can be sold on the POS or online.": type a price and save again.
- The price on the invoice is higher than you typed: your prices are excl. VAT, so VAT is added. If you meant the price to include VAT, switch on Prices include VAT in Preferences and check your prices again.
A lab's tests get their prices on the test itself: see Set up the lab's tests. A lab adds its other charges here, such as venepuncture. A lab's form also has stock fields (Unit, Suppliers, Item Settings, Locations), which this page doesn't cover.
Agreed prices for a medical aid, a company or a partner are set separately, under Setup › Price lists.
