When you need this
You are setting up the clinic or the lab, or you want to change how your documents look: whether your prices include VAT, what your stamp looks like, and, for a lab, how lab reports print. Preferences apply to the whole business.
Steps
- Open Settings in the menu. Under Business, click Preferences.
- Each row is one preference, with a switch or a choice on the right. Change the ones you need (see below).
- Click Update Preferences at the bottom.
For clinics and labs:
| Preference | What it does |
|---|---|
| Prices include VAT (enter tax-inclusive shelf prices in the catalog) | On: the prices you type are what the patient pays, VAT included. Off: VAT is added to the prices you type. Set it before you add your prices. |
| Business is VAT registered | Switch on if your business is registered for VAT. |
| What receipts show | Invoices only lists the invoices a payment settled. Itemised also lists what was provided on each one. |
| Your stamp | The Shape and Ink of your stamp. The preview below shows how it prints. It goes on lab requests, lab reports and prescriptions. |
| Your stamp on invoices, Your stamp on receipts, Your stamp on statements | Off by default. Switch on to stamp those documents too. |
For labs only:
| Preference | What it does |
|---|---|
| Request comments | Off by default. Adds a box to the lab order screen for a pathologist's interpretation of the combined results, which prints in the report footer. |
| AI comment suggestions | Off by default. Adds an AI Suggest button to a lab result's Comments box, which drafts a comment for you to review and edit. When on, the test's values, ranges and flags, with the patient's sex and an age band, are sent to Anthropic – no name, date of birth or other identifier. |
| Lab report layout | How printed lab reports look (see below). |
| Doctor's phone and email on reports | Off by default. Prints the requesting doctor's phone and email on lab reports. |
| Patient's phone and email on reports | Off by default. Prints the patient's phone and email on lab reports. |
Lab report layout has three choices:
- Classic: the current look – a ruled table with banded test rows.
- Clean: flatter. No grid lines, one tint across the rows, black headings, and grouped components such as the differential indented under their own sub-heading.
- Plain: the Clean layout with every result in black: no colour for abnormal results or for S / I / R.
It changes printed lab reports only. The values, ranges and flags are the same whichever you choose. A single test can also print its results only, without the range and flag columns: switch on Print results only on the test (see Set up the lab's tests).
The page has other preferences too (online payments, fiscalisation, receipts printed at the till and more). Leave them as they are unless you know you need them.
What you should see
- Successfully updated.
- The next document you print or download uses the new setting: for example, the next lab report in the layout you chose.
If something goes wrong
- There's no Update Preferences button: your role can see preferences but not change them. Ask the person who manages staff logins.
- "Couldn't load your preferences": check your connection and click Try again.
- The lab rows aren't there: they show only for a lab.
