Print a partner's lab request with its stamp โ
When you need this โ
A partner hospital has given the lab its stamp, so the lab can print the lab request for the partner's patients: the medical aid wants it with the claim, or the patient needs a copy. Once the stamp is added, the lab request for every order that comes through that partner prints headed with the partner's name and details and stamped as the partner, dated by the request. This covers orders sent by the hospital's system and visits the lab records for the partner.
Add the stamp once, when the partner gives you permission. Keep the partner's written permission with your records.
Steps โ
Add the partner's stamp (once)
- Go to Setup โบ Partners and open the partner.
- Click Actions, then Add stamp.
- Fill in Name, Address, Phone and Email exactly as the partner's own stamp shows them. Only Name is required.
- Choose the Shape and Ink of the partner's real stamp, so it doesn't look like your lab's stamp beside it on a claim. Round leaves out the address and suits short details; Minimal prints only the name and date. The stamp below the choices is exactly how it prints; the date on it is the request's.
- Under Stamp on the Claim PDF, choose whose stamp goes on the Claim PDF of this partner's orders: The partner's stamp (the default), Our lab's stamp, or Both stamps.
- Click Save stamp.

Your lab's own stamp
To change how your own stamp looks, choose its Shape and Ink under Your stamp in Preferences. It is used on your lab requests, lab reports and prescriptions, and on invoices, receipts and statements when you switch those on there.
Print the lab request
- Open Laboratory and click the lab order.
- Click Request PDF.
What you should see โ
After saving, the partner's details card shows its stamp's name, shape and ink under Lab request stamp (for example "Westgate 24hr Medical Centre ยท Round, purple"), and your choice under Stamp on the Claim PDF (for example "The partner's stamp"). Actions offers Edit stamp. The drawer says who added the stamp and when.
The lab request opens as a PDF headed with the partner's name, address, phone and email, with the partner's stamp dated by the request. It leaves out the patient's phone, email and address and the doctor's phone. When the visit is paid by a medical aid, it also shows the medical aid details: the medical aid, member number, suffix, relationship to member, member's name and phone, and employer. Lines the lab doesn't hold print blank, to fill in by hand. It carries the partner's stamp only. Printing it again gives the same document.
Claim PDF on the same order is headed with your lab's details, with the medical aid details and the tariff codes. Its stamp follows Stamp on the Claim PDF:
- The partner's stamp: the partner's stamp alone, labelled Requested by.
- Our lab's stamp: your lab's stamp alone, labelled as provider of services.
- Both stamps: the partner's, labelled Requested by, and your lab's.
The stamps are dated by the request. Send it with the claim form, as you do for any claim.
If something goes wrong โ
- There is no Request PDF button on the lab order: the order didn't come through a partner with a stamp. Check that the visit was recorded for the right partner, and that the partner has a stamp under Lab request stamp. Without one, send the partner's own request form instead. (Orders your own doctors request from a clinical note have the button too, stamped as your clinic.)
- There is no Add stamp under Actions: your role can't change partners. Ask someone who can.
- "Enter the name as the stamp shows it": the stamp needs at least the name it carries.
- "The preview couldn't be drawn just now": the stamp still saves; open it again later to see it.
- The partner's stamp and yours look the same on a claim (with Both stamps): give one of them a different Shape or Ink.
- The Claim PDF has the wrong stamp: open the partner, click Actions, Edit stamp, and change Stamp on the Claim PDF. Print the Claim PDF again.
- The partner withdraws its permission: open the partner, click Actions, Edit stamp, then Remove stamp. Lab requests for its orders can no longer be printed.
