Confirm a visit from the hospital's system
When you need this
Your hospital's own system has sent the lab a patient's order. It arrives as a draft visit, with the patient, the requesting doctor and the clinical details already filled in, and From EHR next to it. You pick the tests and who pays from the hospital's order, take the payment and check the patient in, as for any visit.
Steps
- Open Visits and click From hospital system. The list shows the drafts the hospital's system sent.
- Click the patient's name. The draft opens with a card at the top, From the hospital's system, showing the order as the hospital sent it: Tests ordered, Who pays, Paid at the hospital, the doctor's registration number and the hospital's record number. Check the order number against the patient's slip.
- Under Who pays, choose what the card's Who pays says.
- Under Tests and charges, add the tests the card's Tests ordered lists.
- Check Clinical details. They come from the hospital's order; you can change them, and the original stays in the card.
- Check Payments. When the hospital took money from the patient, the first payment is filled in from its receipt (Filled in from the hospital's receipt). Correct the method or the amount if they're wrong.
- A blood test adds a venepuncture line, marked Collection fee – remove it if the sample came already taken. Remove it if the hospital already charged the patient for it in its own system.
- Click Check in patient.
What you should see
The visit opens with its status, From EHR, and the hospital's card at the top, so anyone can see what the hospital ordered. The hospital's system now sees the order as confirmed, with the lab's receipt number.
If something goes wrong
- "The hospital took USD 50.00. The lab's bill is USD 55.00." under Payments: what the hospital took doesn't match the tests you picked. Check the tests against Tests ordered. A self-paying patient must pay the lab's bill in full, so collect the rest before checking them in.
- Tests ordered or Who pays says "Not sent": the hospital's system didn't send it. Ask the patient for the request form, or call the hospital.
- The patient's record says No ID, "Not sent by Westgate Hospital's system" (with your hospital's name): the hospital's system didn't send the patient's ID number. You can still check the patient in. Ask the patient for their ID and add it to their record.
- "new to the lab: check the doctor's name and number" after the doctor's registration number in the card: the hospital's order named a doctor the lab didn't have, so one was added to your hospital's list. Check the name and registration number on the hospital's doctors page.
- The payment's method is empty: the lab has more than one way of taking that kind of payment, or none. Choose how the patient paid.
- There is no Check in patient button, only Send for payment: your role records visits but can't check patients in or take payments. Send it for payment, and someone who takes payments checks the patient in.
- There is no From hospital system chip: you're on another page. It's on Visits.
